Exhibit Preparation and Indexing

The short answer

A transcript without its exhibits is half a record. We prepare, label, and index exhibit volumes to the applicable court rules alongside the transcripts we produce, so what you file is complete and the reviewing court can follow every reference.

Ask anyone who has assembled an appellate record: the exhibits are where the hours go. Every document, photo, and demonstrative admitted below has to be gathered, ordered, labeled, and indexed so a citation in the brief lands on the right page of the right volume.

We fold exhibit work into our transcript orders because the two belong together. The transcriber who just spent days inside the testimony knows exactly which exhibit was discussed where, and that knowledge makes the index accurate instead of approximate.

What exhibit preparation includes

We collect the admitted exhibits from the court record or from counsel, organize them in the order and grouping the rules require, apply consistent labeling, and build the index that ties each exhibit to the testimony referencing it. For appellate filings we prepare the volumes to the format the reviewing court expects, including electronic filing requirements.

In Indiana appellate work, where we support court reporters across the state, we routinely handle the exhibits as part of preparing the record so reporters do not have to stress about the details.

Why indexing quality matters

Judges and clerks navigate records through the index. An exhibit missing from the index effectively disappears from the appeal, and a mislabeled one sends the court to the wrong document mid-argument. Our proofreading pass checks the index against the transcript's exhibit references line by line, because an index is only useful if it is trustworthy.

Timing matters as much as accuracy here. Exhibit volumes are due with the record, not after it, so we build them in parallel with the transcript rather than as an afterthought. When the transcript is certified, the volumes are ready beside it, and one delivery completes the filing instead of two deadlines chasing each other.

FAQ

Questions we hear

Do you only prepare exhibits for transcripts you produced?

That is the usual case, since the pairing produces the best index, but talk to us about standalone exhibit work and we will see if we can help.

Can you work from electronic exhibits?

Yes. Most exhibits reach us electronically now, and we prepare volumes for electronic filing as courts require.

Do you handle oversized or unusual exhibits?

We handle what the record contains, and where an exhibit cannot be reproduced in a volume we note it per the court's convention.

How is exhibit work priced?

It depends on volume and format, so it is quoted per project along with your transcript order. Contact us with the case details.
